Batch documentation: what to check

Batch documentation

Batch documentation: what to check before you rely on it.

Document sets vary by manufacturer and product. Start by matching the product, lot or sample identifiers, dates, methods, results, and release status.

A purity number is only one data point. Document identifiers and test details help determine whether a report matches the material it describes.

  1. Specifications, COAs, and batch records serve different purposes.

A specification states target requirements. A COA reports results for an identified sample or lot. A manufacturing batch record documents production activity. These documents may be related, but they are not interchangeable, and a COA is not automatically third-party.

  2. The contents of a batch record vary.

Depending on the manufacturer and process, records may include material identifiers, process steps, dates, equipment, in-process checks, deviations, test reports, and release approval. Do not assume every document set contains the same sections.

  3. Traceability depends on matching identifiers.

Compare the product name, lot or batch number, sample identifier, and dates across the label and available documents. For a Research Chem Co order, use the order number when asking support which documentation is available.

  4. Ask what is actually available.

Before relying on a generic PDF, ask whether the document is a specification, a lot-specific COA, or another record, and which product or lot it covers. Manufacturing records are often controlled documents and should not be assumed to be customer deliverables.

  5. Review the document as a complete record.

Check the issuer, identifiers, methods, results, units, dates, version, and approval status. If important information is missing or unclear, ask the issuer or supplier before relying on it.

Frequently asked questions

Does every order include a full manufacturing batch record?

No blanket availability should be assumed. Documentation varies by product and batch. Contact support after shipment with the order number to ask what is available for the supplied item.

How are available documents provided?

When documentation is available, support can explain the delivery format and how it is connected to the shipped order.

How long will documents remain available?

Do not assume indefinite availability. Keep a copy of any document supplied with an order, and contact support with the order number if you need help locating it later.

A document is useful only when its identifiers match and its methods, results, dates, and status are clear.
